1. Basic principles

The website www.hochschul-sozialwerk-wuppertal.de is operated by Studierendenwerk Wuppertal.
The Studierendenwerk, based in Wuppertal, is an institution under public law with legal capacity. It pursues exclusively and directly non-profit and charitable purposes by providing economic, health, social and cultural support to students at Wuppertal's universities. Data is collected, stored, processed and utilised for the purposes stated above.
Personal data is also processed when you use our website. In this text we inform you which personal data we collect, for what purpose we process it and which data protection rights you are entitled to. We comply with data protection legislation. We reserve the right to adapt this data protection declaration to changes in legal regulations or business processes at any time. The collection of data is essential for the fulfilment of the tasks of Studierendenwerk Wuppertal. STWWTAL takes the protection of your personal data very seriously and endeavours to ensure an appropriate and reliable level of data protection and information security, in particular in compliance with the provisions of the EU General Data Protection Regulation (GDPR) and the German Federal Data Protection Act (BDSG).

Personal data is only processed if the data subject has consented, if it is necessary for the fulfilment of a contract or if the GDPR or another law permits or prescribes the processing.

2. Security measures

The STWWTAL has implemented appropriate technical and organisational security measures to protect the personal data collected via our website against unauthorised access, misuse, loss or destruction.

However, we would like to point out that Internet-based data transmission is subject to security vulnerabilities, making complete protection against access by third parties impossible.

3. Logging / server data

It is possible to use our website without providing personal data. Different regulations may apply to the use of individual services on our website, which will be explained separately in this case.

For technical reasons and for statistical purposes, the STWWTAL automatically collects and stores server log files if your browser makes them available. These include

- Website from which you visit us (referrer URL)
- Website that you visit
- Date and time of your access
- Your Internet Protocol (IP) address.

The STWWTAL cannot assign this data to specific persons. This data is not merged with other data sources.

4. Cookies

We use so-called cookies on our website to recognise multiple use of our website by the same user / internet connection. Cookies are small text files that your Internet browser stores on your computer. They are used to optimise our website and our offers. These are usually so-called session cookies, which are deleted again at the end of your visit. Passwords are not stored in cookies. Our cookies do not cause any damage to your computer and do not contain viruses.

You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this you may not be able to use the full functionality of our website.

5. Processing of personal data

On our website, we offer you the opportunity to contact us by e-mail and/or via a contact form.

The information you provide for this purpose will be stored on the basis of Art. 6 para. 1 a GDPR exclusively for the purpose of contacting you. It will not be passed on to third parties. By sending an enquiry by email or by entering your data (name, address, email address) in the contact form, you give us your consent to store the data and use it to contact you. The data collected in this way will not be compared with the data that may be collected by other components of our website.

6. Processing of the data that you enter in the form fields when applying online for a place in a hall of residence

We use an online application process to allocate our student residences. We use the data you enter in the online application exclusively for the allocation of our halls of residence. The processing is necessary to carry out these pre-contractual measures. An application does not constitute a legal claim to the conclusion of a tenancy agreement.

Your application will be stored for 36 months from the date of application. After this period, the application will be automatically deleted if it has not been updated by you before the end of this period. If a tenancy agreement is concluded, your application data will be used for the purpose of concluding the tenancy agreement.

We use a service provider, tl1, based in Freiburg, with whom we have concluded an order data processing contract.

7. Processing of the data you enter in the form fields of the satisfaction survey (accommodation, catering, BAföG)

We use the data you enter in the residence, canteen or Bafög satisfaction survey and evaluation exclusively for satisfaction surveys and to improve our residence, canteen and Bafög processing services. We use a service provider, NETQUES - Daten & Diagnostik, based in Wuppertal. Your details will be provided anonymously unless you select the ‘personalised feedback’ option at the end of the survey and voluntarily enter your name and email address. Only if you indicate there that you would like personalised feedback will we use this information to contact you. Please note, however, that a response is always dependent on departmental staff utilisation and cannot be guaranteed. The anonymous survey results are stored indefinitely for the purpose of statistical analysis; the name and e-mail address details are deleted after six months.

8. Processing of data in e-mail communication

All emails that we receive are forwarded to the relevant contact person within our email system and used to process the email.

All incoming and outgoing emails are recorded in our central email archive and generally stored for 11 years because this storage is necessary to fulfil the legal obligations for proper accounting. Although this archiving obligation only applies to emails with an accounting document function, it is not possible to systematically separate these emails from other emails, so all emails must be archived. Archived emails are accessed for the purpose of financial accounting and bookkeeping, as well as for the purpose of technical work to fulfil the statutory tasks of Studierendenwerk Wuppertal, if the content of emails is required for technical purposes.

9. Google – Maps

Our website uses the product Google Maps from Google Inc. By using this website, you consent to the collection, processing and use of the automatically collected data by Google Inc, its representatives and third parties.

10. SSL encryption

This site uses SSL encryption for security reasons and to protect the transmission of confidential content. You can recognise an encrypted connection by the fact that the address line of the browser changes from http:// to https:// and by the lock symbol in your browser line.

If SSL encryption is activated, data that you transmit to us cannot be read by third parties.

11. Further information / right to information

You have the right to receive information free of charge at any time about the collection, processing or use of your stored personal data and the purpose of the data processing. You also have the right to have this data corrected, blocked or deleted, provided that this claim does not conflict with any statutory retention obligation. You also have the right to revoke any consent you have given.
